Sales & Events Administrator 

20-24 hours a week, competitive salary 

We are currently seeking someone to fill the role of Sales & Events Administrator to help us effectively look after our  growing customer base in the areas of corporate sales, wholesale orders, on and off site experiences and events. 




Overview of Role:   The role of Sales & Events Administrator is to effectively communicate the available products, activities and services York Cocoa Works can offer to potential customers as well as managing these orders and bookings through the business. You will ensure we are delivering on time and to customer expectations.  The role requires someone who is organised, proactive and able to communicate effectively internally and externally.   This will suit someone who is looking for part time work as we are offering 20-24 hours a week, however there may be opportunity to increase hours in peak seasonal periods should the candidate wish to do so. We will need coverage Mon-Friday so might suit someone looking to work within school hours.   

 Responsibilities:   

 ·        To manage the day to day running of incoming enquiries into the business for corporate and wholesale product sales, events and experiences. 

 ·        Dealing with incoming enquires to supply the correct price lists, company brochures and stock information to secure new corporate and wholesale customer orders and bookings. 

 ·        Working in conjunction with the sales lead to follow up with price lists, company brochures and stock information to secure new corporate and wholesale customer orders and bookings. ·        Ensuring our customer management system Capsule is kept up to date to ensure all corporate and wholesale order and booking information is available centrally and effectively tracked and actioned so our customers are well looked after. 

 ·        Managing the York Pass function to ensure that we are making regular redemptions and capturing York Pass Codes. 

 ·        Overseeing the online booking system including but not limited to group bookings and parties, cancellations and amendments to existing bookings. 

 ·        Overseeing gift voucher redemption process.   Full training will be given on all our systems and processes to enable you to effectively perform your duties.

Café and Retail Team Member

Part time permanent role

  

We are a small devoted hardworking team who are enthusiastic about sharing our chocolate recipes and creations. We are recruiting for a like minded individual to join our team to aid and ensure the daily operation of our cafe, retail store, and delivery of visitor experiences. Reporting to the Front of House Manager you will have some experience working in a similar environment and be able to maintain high standards of customer service, product knowledge and operations. This role is initially part time with the opportunity to extend working hours based on the needs of the business. A flexible approach to work patterns will be required in order to meet demand during peak and seasonal periods and to respond constructively to demand fluctuations.


What we require from you: 

You will have had previous experience working in a fast paced hospitality environment, be barista trained and have knowledge of food safety and hygiene procedures. You must be flexible, enthusiastic and an excellent team player and problem solver. You will deliver excellent customer service at all times and be incredibly personable, with the desire to maintain excellent standards across all areas. Daily Tasks will cover all front of house areas in the cafe, retail area and visitor experiences. 

Tasks include but are not limited to: 

 Cafe duties 

Serving customers in a prompt and friendly manner 

Making and serving drinks, from hot chocolates to coffees Maintaining high levels of cleanliness by following cleaning schedules 

 Retail duties 

 Maintaining stock levels 

Overall cleanliness and presentation of the area 

Excellent salesmanship and product knowledge 

Thorough understanding and knowledge of our POS systems, such as iZettle and Shopify 

 Visitor Experience duties 

To host and facilitate our daily Chocolate Manufactory Tasting Journey tours and cafe experiences, such as our Chocolate Indulgence and Chocolate Lollipop Making 

To assist with enquiries over the phone, via email and in person 

To effectively use event booking systems such as Bokun

Ad-hoc Chocolate Opportunities

Casual working - mix of hours and days available

We are always on the look out for people looking for ad-hoc, seasonal work to help us deliver chocolate experiences and products on and off site on a casual basis.   

This will suit anyone looking for casual work on a semi regular basis to help us share our chocolately experiences and products at public and corporate events. 


  • The types of work we have on offer:   

- Chocolate Lollipop workshop support - working alongside our events team to deliver these workshops to large groups. 

- Chocolate Tour & Tasting Guide - you will be trained in how to deliver our Manufactory Tasting Journey around our chocolate factory on Castlegate and how to conduct a chocolate tasting. 

- Hot Chocolate Host - working alongside our sales team to host pop up hot chocolate shops off site. 

- Chocolate Shop Assistant - working alongside our sales team to help retail our chocolate products at off site events such as the York Food & Drink Festival and Food & Drink Markets. 

- Chocolate Packers - During our peak season at Easter & Christmas we always need a spare pair of hands to help package our chocolate gifts and hampers. Stamping, labelling, and gift wrapping is all done by hand so an eye for presentation is key!   

 We are looking for people who are passionate about chocolate, our journey and interacting with the public. You will be enthusiastic, articulate and be comfortable dealing with the general public.
